Acceptance of Terms

By engaging the services of Summit Travels and Tours Investment Ltd (“the Company,” “we,” “us,” or “our”), whether through our website, corporate portal, or direct consultation, you (“the Client,” “the Organization,” or “the Traveler”) agree to be bound by these Terms of Service. These terms govern our delivery of refined travel solutions, including flight ticketing, hotel reservations, visa assistance, and executive protocol services.

Our Role as a Corporate Travel Partner

Summit Travels acts as a professional intermediary between the Client and third-party service providers (Airlines, Hotels, Insurance Underwriters, and Transport Operators).

  • Precision in Planning: We provide strategic travel planning and coordination with the highest level of professional care.

  • Service Limitation: While we facilitate these services, the actual carriage, accommodation, or insurance is provided by independent entities with their own specific terms and conditions.

Bookings and Confirmations

  • Accuracy of Information: The Client is responsible for providing precise traveler details (as they appear on passports). Any costs arising from errors in the information provided by the Client will be borne by the Client.

  • Pricing & Availability: Travel quotes are subject to change until a final booking is confirmed and payment is processed, due to the dynamic nature of the travel industry.

Payments and Financial Terms

  • Settlement: All services must be paid for in full at the time of booking unless a separate corporate credit arrangement has been formally executed.

  • Taxes and Fees: Prices quoted include applicable taxes and our professional service fees unless otherwise stated.

  • Currency: Payments shall be made in the currency specified on the invoice.

Cancellations, Refunds, and Amendments

  • Policy Alignment: All cancellations and amendments are subject to the specific policies of the airline, hotel, or service provider involved.

  • Service Fees: Our professional service fees are non-refundable, as they cover the strategic planning and coordination already performed.

  • Refund Processing: Approved refunds from third-party providers will be processed and remitted to the Client only after we have received the funds from said providers.

Visa Assistance and Travel Documentation

  • Advisory Role: We provide expert visa assistance based on current embassy requirements. However, the granting or denial of a visa is at the sole discretion of the respective embassy or consulate.

  • Responsibility: The Traveler is ultimately responsible for ensuring they possess a valid passport (with at least 6 months’ validity), necessary visas, and health certificates (e.g., vaccinations) required for their destination.

  • No Guarantee: Summit Travels shall not be held liable for any financial loss or travel disruption resulting from visa denials or entry refusals by immigration authorities.

Executive Protocol and Mobility Management

For clients utilizing our Executive Protocol Services, we commit to a structured and responsive approach. However, we are not liable for delays caused by:

  • Unforeseen traffic or infrastructure failures.

  • Security directives from government authorities.

  • Last-minute changes to flight schedules by carriers.

Limitation of Liability

  • Third-Party Acts: Summit Travels is not liable for the acts, errors, omissions, warranties, or negligence of third-party suppliers, including personal injury, property damage, or death.

  • Force Majeure: We shall not be held responsible for delays or failures in performance resulting from “Acts of God,” strikes, pandemics, civil unrest, or any other event beyond our reasonable control.

  • Indirect Loss: To the maximum extent permitted by law, Summit Travels shall not be liable for any indirect, incidental, or consequential damages (including loss of business or profit).

Client Conduct and Professionalism

We pride ourselves on Integrity and Client Commitment. We expect a reciprocal level of professionalism. We reserve the right to decline service to any entity or individual whose conduct is deemed inconsistent with our corporate values or safety standards.

Intellectual Property

All content, logos, and strategic itinerary templates provided by Summit Travels are the intellectual property of the Company and may not be reproduced or used for commercial purposes without our written consent.

Governing Law and Dispute Resolution

  • Mediation: In the event of a dispute, both parties agree to first seek an amicable resolution through formal mediation.
